Departing Postdocs

Are you a postdoctoral scholar who will soon depart Ohio State? This page has resources and suggested steps to assist you with planning for your departure.

Departing Postdoc Offboarding Checklist

Below is a list of suggested activities to take care of within the last 3 months of your position.

90 Days from Departure

HR - Review Leaving Ohio State University Checklist

In-house - Meet with OSU faculty mentor/PI to discuss official last day, vacation time-off usage, and the status of any ongoing projects that need to be transitioned to other individuals.

60 Days from Departure

In-house - Review Knowledge Transfer plan with PI and other relevant staff/faculty

International, HR - Notify Office of International Affairs of upcoming departure

In-house, Ofc. Research, etc. - Notify any internal or external funding agencies of changing position and determine plan for spending out or moving grants.

45 Days from Departure

HR, In-house - Provide resignation letter to faculty mentor/PI and HR consultant that includes effective end date or last day of work, and alternative email address

30 Days from Departure

Continued technology access, Communications - Request guest account for email and cloud computing (OneDrive) access

15 Days from Departure

HR - Provide departmental HRC with forwarding mail address for tax forms, paycheck, etc.

HR- Settle any university fines and fees

Exit interview - Complete online postdoc exit survey and request one-on-one

In-house - Update faculty mentor/PI website and include your new contact information if needed for ongoing collaborations

7 Days from Departure

In-house - Remind faculty mentor of your departure day/time.

Last Day

In-house - Review and complete Last Day Checklist

Continued Email and Software Access

Many postdocs who are departing the university still need to have access their OSU email address to maintain collaborations, interact with grant funders, and engage with their research group. The Office of Postdoctoral Affairs has worked with the university’s informational technology group to streamline the email continuation process. Your faculty mentor or unit support staff can request continued access to your OSU and OSUMC email and other university systems (e.g., OneDrive) through my.osu.edu. They should follow these steps:

  1. Once they have logged in, they should select “add new guest” on the lefthand side, and then scroll down and hit “continue”.
  2. On the next page, the following items should be input:
    1. Relationship Role: PostDoc
    2. Detailed Role: Univ (for name.#@osu.edu) or Medical Center (OSUMCID@osumc.edu)
    3. Ohio State Username: (name.# or OSUMCID)
    4. Your first name, last name, and OSU email address
    5. Start date: the last day you will work at Ohio State (e.g., put June 30, 2023 if departing June 30, 2023)
    6. Expiration date: 364 days later maximum (e.g., June 28-29, 2024)
    7. Primary sponsor: your faculty mentor
    8. Alternate sponsor: James Gentry, (gentry.50), Admin Director of OPA
    9. Guest administrator: Gentry, James
  3. Select next. It will then route for approval to your faculty mentor’s supervisor and then to James Gentry.

It is best to do this at least two weeks prior to your departure. Start date for guest account access cannot be submitted greater than 30 days in the future.
