Student Program Reports Dashboard User Guide

Summary of User Guide

This user guide is intended for researchers of all levels who wish to explore the Student and Program Reports dashboards made available through The Ohio State University Graduate School. These reports provide valuable data longitudinally for students and programs through various sorting filters which are explained in this guide. The Student and Program Reports dashboard contains data covering but not limited to applications, enrollments, retention rates, and degrees awarded. Data can be visualized through multiple types of charts as well as seen as data tables. This guide will provide you with basic step-by-step instructions for navigating the most popular types of inquiries. If there are specific inquiries you wish to make that requires additional support, please contact The Ohio State Graduate School for more information.

This dashboard was produced in conjunction with Ohio State’s membership in the Coalition for Next Generation Life Science (nglscoalition.org). Each of the 53 member institutions agree to follow the reporting guidelines of the Coalition. For example, the admissions data only reflects Autumn semester data. The intended audience for this dashboard is prospective graduate students, though it may appeal to other audiences. Also, a note for Tableau users, if you have Tableau open and attempt to access this dashboard, you may get an error loading the page. To fix this, you can open an incognito internet browser and access the dashboard.

Navigating to Student and Program Reports

  1. Go to https://gradsch.osu.edu/coalition-next-generation-life-science
  2. Click “Student and Program Reports”

Overview of Student and Program Reports

The tabs at the top of the page show the different dashboard pages available for use. Navigate by selecting the tab you would like to view.

  • Graduate Admissions
    • This dashboard shows graduate students who have applied, completed an application, received admission, and enrolled with the ability to filter by program or demographics. Data are illustrated through stacked line graphs and donut charts.
  • Enrollment Chart
    • This dashboard shows graduate student enrollment (as of the 15th day census report), as illustrated through stacked bar chart.
  • Enrollment Data Table
    • This dashboard shows annual change of graduate student enrollment by race/ethnicity in data chart form.
  • Retention and Graduation Chart
    • This dashboard shows Ph.D. retention and graduation rates by three-year cohorts through stacked line graphs and donut charts.
  • Retention and Graduation Table
    • This dashboard shows Ph.D. retention and graduation rates in a data chart, with donut charts for the demographic breakdown for the three-year cohorts.
  • Degrees Awarded
    • This dashboard shows doctoral and masters degrees awarded by academic year.
  • Time to Degree
    • This dashboard shows the time-to-degree for doctoral degrees by Academic Year.
  • Degree Code Abbreviations
    • Provides a list of all degree code abbreviations

 

Every dashboard has an “i” information button. “Hover” over the i-button for more information on that dashboard’s data and terms. Each Dashboard has a separate i-information button that is unique to that set of data.

All dashboards have filtering options. Filters include college, department, major/program, gender, race/ethnicity. Residency, year, and others more specific to the dashboard.

  • Global Filters
    • Will change all graphs and charts on the page
  • Demographic Filters
    • Will change donut charts
    • Will not change line or bar charts on the page
  • Break Bars By
    • Unique to the stacked bar graphs.
    • Allows the user to change what data is displayed by the bar graphs.

Navigating Graduate Admissions Page

The Graduate Admissions dashboard shows the breakdown of students who have applied, completed an application, were admitted, and ultimately enrolled at Ohio State. There are several ways to further filter this information.

To filter the information, click on the “arrow” and select from the dropdown options.

Note: The data set is set to default at Year: 2020 & Funnel Level: Applied

Stacked Line Graph

  • “Hover” over a category, and year to find more about that data. All categories will show the admit rate and yield. Each category will also give the number of students in that category.

 

Donut Charts

  • Hovering over the center of the chart will show the available options, and definitions of those options
  • Hovering over the outside data will show the numbers, percentage of, admit rate and yield for the data selected
  • Note: Race/Ethnicity shows for domestic students only because race/ethnicity information is not collected on international students.

Enrollment Chart Dashboard

Select Filters for your data set. Filter options for this dashboard include:

  • Break Bars By
    • This filter option allows you to adjust how the stacked bar graph is configured.
    • Options include Race/Ethnicity, Gender, Underrepresented Minority, Residency Level, Degree Level, and Campus
  • Other filter options are Term, College, Department, Major/Program, Gender, Race/Ethnicity, Underrepresented Minority, Residency, Campus, Degree Level.

Hovering over a section of the bar graph will display the actual student count, as well as the percentage of the total.

 

“Clicking” on one of the sections of the bar graph will bring you to the next dashboard tab, Enrollment Data Table. Where the section you selected will be highlighted

Enrollment Data Table Dashboard

This table can be filtered using the filters on the right-hand side. The filters are the same as in the Enrollment Chart, and the data correlates to the Enrollment Chart dashboard as well.

Using the Break Bars By filter will change which student demographic is represented.

Retention and Graduation Chart Dashboard

This dashboard has stacked line charts and donut graphs that show retention and graduation rates for Ph.D. programs by three-year cohort

Using the Global Filters and the Demographic Breakdown Filters, the user can filter the information as needed

Stacked Line Graphs

  • If you “hover” over the stacked line graph it will give you the data for that area. See example below.
    1. Received Doctorate à7 Years Later a total of 65.3% of students received their doctorate
    2. Received Masters, No Doctorateà7 Years Later a total of 14.5% of students earned their masters degree.
    3. Totalà7 Years Later a total of 79.8% of students earned a graduate degree from Ohio State University

 

Donut Charts

  1. The donut charts show the Demographic Breakdown for the three-year cohort specified by the user through the Demographic Breakdown Filters dropdown boxes on the lower righthand side of the dashboard.

Retention and Graduation Table Dashboard

As with the previous dashboard, this dashboard shows Ph.D. Retention and Graduation Rates for students, by their three-year cohort. This information is shown on the left-hand side of the chart

Global Filters are available through a drop-down menu, to further filter the data to the right of the chart.

Table

  1. The data table shows students by three-year cohort who have received their masters, received their doctorate, were retained, and who were not retained, by years later.
  2. If data is “clicked” on, the entire column will be highlighted, and the donut charts beneath it will show the demographic breakdown of the selected data in the chart.
    1. An example is provided below. Demonstrating 7 years later, for the 2009-2011 Cohort
  3. On the Time to Degree Dashboard you can also see the average time to degrees. An example is provided below as well.

Degrees Awarded Dashboard

Dashboard shows stacked line graph of graduate degrees (doctoral and/or masters) by academic year. Ensure the correct degree level is selected. Note: Default setting on this dashboard is both doctoral and masters Degrees.

 

“Hovering” over any section of the stacked bar chart will display additional data information. Below is an example of hovering over the international student section for the 2016-2017 academic year.

Time to Degree Dashboard

This dashboard shows the median Time-to-Degree, grouped by academic year of graduation.

Use the filters on the right-hand side as needed.

“Hovering” over any of the bars on the chart will display the number of students, as well as the overall percentage.

The Line at the bottom illustrates the median time to degree by academic year.

Degree Code Abbreviations

This dashboard is a table listing all graduate programs represented in the data, and their abbreviations. It is for reference.
